Terms & Conditions

These terms govern your use of Food Safe 360, operated by Food Safe 360 Ltd.

Last updated: 15 September 2026

1. Who you are contracting with

Food Safe 360 ("the Service") is provided by Food Safe 360 Ltd ("we", "us"). By creating an account or using the Service you enter into an agreement with Food Safe 360 Ltd. You can contact us at support@foodsafe360.co.uk.

2. Acceptance of these terms

By signing up for, accessing or continuing to use the Service you agree to these terms. If you do not agree, please stop using the Service. If you use the Service on behalf of a business, you confirm you have authority to bind that business. If you use it as an individual, you confirm you are of legal age.

3. What the Service does

Food Safe 360 is a digital record-keeping tool for UK food businesses: fridge, freezer, hot holding and probe temperature logs, daily and monthly hygiene checks, HACCP records, allergen information and inspection-ready reports. It also offers read-only access for local authority officers.

The Service supports your food safety management system. It does not replace your legal duties under UK food law, and any hygiene score shown in the app is indicative only. It is not an official Food Standards Agency rating and carries no regulatory status.

4. Your account

You must give accurate registration details and keep them up to date. You are responsible for keeping your login credentials confidential and for all activity carried out under your account and the staff accounts you create.

5. Acceptable use

You must not:

  • use the Service for any unlawful purpose, or to break UK food safety or data protection law;
  • use the Service for fraud, spam or the falsification of records to mislead an enforcement officer;
  • infringe anyone's intellectual property or privacy rights;
  • interfere with the security or integrity of the Service, including introducing malware, probing or scanning, scraping, or circumventing technical limits;
  • reverse engineer, resell or redistribute the Service.

6. Licence and intellectual property

We grant you a limited, non-exclusive, non-transferable right to use the Service within your chosen plan. All intellectual property in the Service — software, design, documentation and branding — remains owned by Food Safe 360 Ltd. You keep ownership of the records and content you enter, and you grant us a limited licence to host and process that content solely to provide the Service to you.

7. Availability

We work to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free performance. Maintenance, third-party outages and events outside our reasonable control may affect availability. We recommend keeping exports of records you are legally required to retain.

8. Payment, subscriptions and taxes

Business accounts receive a free trial period, after which the subscription is charged annually in advance per premises at the price shown at sign-up, renewing every 12 months until cancelled. Local authority and council accounts are free of charge.

Payment, billing, tax, invoicing, cancellation and refund mechanics are handled by Paddle under the Paddle Checkout Buyer Terms. You can cancel your subscription at any time from your account page; cancellation takes effect at the end of the paid period.

9. Reseller and Merchant of Record

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

10. Suspension and termination

We may suspend or terminate access where there is a material breach of these terms, non-payment, a security or fraud risk, or repeated or serious policy violations. Where practical we will warn you first. You may close your account at any time. On termination you will have a reasonable window to export your records before they are deleted or anonymised.

11. Warranties and liability

To the fullest extent permitted by law we disclaim all implied warranties, including merchantability and fitness for a particular purpose. We are not liable for indirect, consequential or special loss, including loss of profits, data, business or goodwill. Our total aggregate liability is limited to the fees you paid in the 12 months before the claim. Nothing limits liability for fraud, death or personal injury caused by negligence, or anything else that cannot be limited under law.

12. Indemnity

You indemnify us against claims arising from the content you enter, your unlawful use of the Service, or your breach of these terms.

13. Changes to these terms

We may update these terms. Material changes will be notified in the app or by email before they take effect; continued use after that means you accept the updated terms.

14. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction. You may not assign your rights without our consent; we may assign ours as part of a merger, acquisition or reorganisation. Neither party is liable for delays caused by events beyond reasonable control.
